Troubleshooting

SpeechMike Not Working or Poor Dictation Accuracy

If your SpeechMike buttons are not responding or your transcript accuracy is poor, follow these troubleshooting steps in order.

Check for Conflicting Applications

Other dictation software can interfere with SpeechMike functionality. Close all other dictation or reporting applications, including:

  • Fluency
  • Dragon
  • Powerscribe

These applications may take exclusive control of the SpeechMike device, preventing it from working properly in MD.ai Reporting.

After closing conflicting applications:

  1. Disconnect the SpeechMike USB cable
  2. Wait a few seconds, then reconnect it
  3. Refresh your browser or the reporting app
  4. Go to User Settings → App Settings and reconnect the SpeechMike

Verify Device Settings

Ensure your SpeechMike is properly configured in the app settings.

To check your settings:

  1. Go to User Settings → App Settings

  2. Verify the following:

    Microphone Setting:

    • Select your external SpeechMike microphone
    • Do not use the default device (e.g., "MacBook Microphone" or built-in laptop microphone)

    Dictation Device Setting:

    • Ensure you are using Chrome browser (required for SpeechMike support)
    • Set Dictation Device to SpeechMike
    • Check that the status shows Connected

If the SpeechMike does not connect:

  1. Unplug the SpeechMike USB cable
  2. Wait 5 seconds, then plug it back in
  3. Refresh the browser page
  4. Check if the SpeechMike appears in your computer's device list. If not, try a different USB port on your computer.

Improve Dictation Accuracy

Speech-to-text accuracy depends on audio quality. To get the best results:

  • Dictate in a quiet environment – minimize background noise
  • Avoid background conversations – they can interfere with transcription
  • Speak clearly and at a normal pace
  • Position the microphone appropriately – follow your SpeechMike model's recommended positioning

When to Contact Support or IT

If you've tried all the steps above and the issue persists, contact support or IT if:

  • The SpeechMike does not appear as a selectable device in App Settings
  • The SpeechMike buttons work in other applications but not in MD.ai Reporting
  • Dictation accuracy remains poor despite using a quiet environment and correct settings
  • You continue to experience connection issues after trying different USB ports
